How to Reset a Forgotten Password
Admin-assisted reset of a user's password.
Purpose
Reset a user's forgotten password from the Standard Users screen, force them to change it on next login, and audit-log the reset. This is the safe alternative to recreating the user (which would orphan their historical transactions).
Before you begin
- Administrator login.
- The user's LoginID.
- A secure channel to send the temporary password (not the user's work email if that email is the issue).
- Identity confirmation — especially for high-privilege users.
Steps
- Start → Administration & Setup → File Management → Standard Users.
- Find the user (by LoginID or by name).
- Click Reset Password. The dialog asks for a temporary password.
- Set a strong temporary password (at least 10 characters, mixed case, digits).
- Tick Force change on next login (this is on by default).
- Click OK. The system updates the password and writes an entry to the user's audit log.
- Send the temporary password to the user over a secure channel — SMS, in-person, or an unrelated email.
- Confirm with the user once they have logged in and changed the password.
What success looks like
- The user can log in with the temporary password, is immediately forced to set a new one, and continues with their existing rights and history.
- Audit Log shows the reset entry with admin name, datetime and "password reset" action.
Troubleshooting
- No Reset Password button visible.
- Your role does not have the right. Log in as a higher-privileged admin or have one do the reset.
- User still cannot log in.
- Check that their account is not Disabled or locked by failed-attempt threshold. Re-enable / unlock.
- User claims they never got the temporary password.
- Verify the channel you sent it on. Reset again with a fresh temporary password sent through a different channel.
Tips
- Never re-use the same temporary password — generate a fresh one per reset.
- For administrator accounts, do the reset in pairs — one admin resets, one verifies identity.
- Warning. Never share the Administrator (root) login. If the Administrator password itself is lost, the only recovery is a database-level reset by ZN ERP support.
